June 2009
SCHJA Board Meeting Minutes from June 16, 2010
December 8, 2009
Year End Show and Banquet
Well, we have completed another year of showing Hunters and Jumpers in South Carolina. I would again like to thank members of the Board, the officers, and everyone else who volunteered their time to make the Association, the year end show, and the banquet a success. Congratulations to Elizabeth Ballantine for winning the first ever Palmetto Adult Medal and to Nicole Roos who repeated her performance at the Governors Cup finals and captured the Junior Palmetto Medal in 2009 as well.
I thought the show went very well and we were very pleased to have a show-grounds again in Camden South Carolina. PSJ Shows ran an excellent show for us and attendance was up this year despite the chilly temperatures.
I would like to recap some of the new things the Board has done over the past two years. These things were accomplished in addition to all the work that has to go into managing the Association and the year end show and awards banquet.
- Developed and marketed a new, contemporary logo for the Association
- Developed and rolled out a new website and Facebook page
- Created a scholarship program
- Created the new adult metal finals
- Implemented a new points tracking system
- Applied for and obtained nonprofit status from the IRS
- Hired a CPA to review and approve year-end financial statements and tax filings
- Developed and implemented needed rules changes such as the horse welfare rule, a protest procedure, and refining medal judging procedures
This coming year we have some of the following goals:
- More fully automate the points tracking system
- Improved communications with members through use of direct e-mails
- Review and update the year end show format to encourage more interest and participation
- Update the Rules book and publish a new one to member
As always, please let me know if you feel there is anything we can do to improve the Association or its service to the members.

The Board is busily preparing for the Year End Show & Banquet. We are very excited about returning to the Camden Equestrian Center, now the South Carolina Equine Park.
A lot of work goes on behind the scenes this time of year. We have been very busy planning the show, arranging the banquet, ordering prizes and ribbons and generally overseeing the business of the South Carolina Hunter Jumper Association. If you see a Board member, please take a moment to thank them for volunteering their time. Your Board members travel from across the state several times per year to meet and spend significant time between these meetings conducting Association business. Lots of issues arise during the year and they require a surprising amount of time to deal with.
At our most recent meeting, we handled the following issues.
• Reviewed the status of year-end and ribbons, show ribbons, prizes, catering and banquet location, and ensuring the trophies are prepared.
• Reviewed and approved new rules dealing with how the Association handles protests. These new rules have been posted on the website.
• Reviewed the applications and background checking for two new judges: Ian McCarthy and Beth Stallsworth.
• Reviewed and approved the nominations for best child rider and sportsmanship award and parent of the year.
• Reviewed and approved a new rule setting the point cutoff for the Governors Cup and Palmetto Medal.
The nominating committee has approved the following candidates for office next year.
President -- Charles Thompson
Vice President -- Jennifer St. John
Secretary -- Vicki Bazen
Treasurer -- Cathy Cram

YEAR END BANQUET DECEMBER 6.
GUEST SPEAKER: DANNY ROBERTSHAW
$1,200.00 IN TACK ROOM CERTIFICATES TO BE
GIVEN AWAY TO YEAR-END RIBBON WINNERS!
Hello SCHJA Members. Mark your calendars for our year end Banquet on December 6, 2008. The reservation form is attached. As you know, this year the banquet is not in conjunction with a show. We moved up the year-end show in hopes of finding better weather. The Board is very excited about the banquet. Our guest speaker will be champion hunter trainer and rider, Danny Robertshaw. Danny has been training top show hunters for over 30 years. He was the Chronicle of the Horse Horseman of the Year as well as a 2001 Equestrian of Honor winning the USEF’s Emerson Burr Trophy. He is the only rider to have been champion in the Regular Working hunters at Devon, Harrisburg, Washington, Madison Square Garden and The Royal Winter Fair in the same year. He has trained over 30 champions at Devon and indoors.
Every year-end ribbon winner will have his/her name put in the hat to win one of twelve $200.00 certificates that will be given away throughout the night! You must be present to win.
We hope you have noticed and appreciated some changes this year. Of course, there is a new website. Also, we have the new logo you see in this email (thanks Amanda Cone). You will be seeing it on the website, on T-Shirts, year end prizes, bumper stickers and in other places. As indicated above, we are trying some new things for the Cup and the Banquet. And on the business side, we have hired an auditor to oversee our financial reporting. Your Board has also been very pro-active in addressing issues and has been working hard on your behalf to build a strong organization to support you. If you have any concerns or suggestions, I hope you will contact me or a Board member. Our contact information is at: www.schja.org/board.html
